HubSpot Payment Links
We use HubSpot Payment Links to collect payments and create direct debits securely and efficiently by generating a unique link that clients can use to pay online.
How to create a payment link
Payment links can only be used by clients with an email address. If they do not have an email (this is rare), you will need to take payment manually using Stripe or Lloyds cardnet.
Always aim to get an email for clients, as it makes the entire process easier, not just payment.
1. Go to the client's deal within HubSpot, and make sure you have already created all the necessary line items.
2. Click "edit" on the line items association on the right panel.
3. On the line items page, click "create" in the top right, and then "payment link".
4. At this stage, any changes you make to the payment link do not affect the deal. Double-check the line items to make sure they are the correct items you want to take payment for. If a direct debit is to be created, make sure to double-check the start date.
If a client wants to pay their deposit on one card, and set up the direct debit on a different card, you need to create two different payment links. One with the line item for the deposit, and the other with the line item for the payment plan.
If multiple payment links are created, it is best to name them differently so that they are identifiable, but try to avoid making too many payment links, as it may become unmanageable.
5. Under the settings tab, you can turn on BACS payments, if needed.
BACS should really only be used for direct debits, but clients can pay via BACS using a payment link if they would prefer. BACS payments can take up to 14 days to process.
6. Make sure the "one-time use" tab in the top right is switched on. This will ensure the payment link is disabled after it has been used, avoiding any potential duplicate payments.
7. Once created, send an email to the client with the payment link included.
What happens after a payment?
Once a client makes a payment using their payment link, it will be logged against their contract record and deal. The client will also receive an automatic receipt via email.Security
HubSpot Payment Links are powered by Stripe, a globally trusted and PCI-compliant payment processor. Stripe handles transactions securely and integrates with HubSpot. We do not store or have access to their card details at any point.
Payments may require two-factor authentication (e.g. a text code or banking app approval).
